Business Operations Specialist

Position: Business Operations Specialist

Position Purpose:

The primary purpose of this position is to provide operational support and customer service, including order fulfillment, data processing, and support to internal and external customers.

Position Duties:

  • Maintain a high level of product knowledge (5%)
  • Order Processing and Fulfillment (20%)
    • Take customer and consultant orders and enter them into the ordering fulfillment
    • Perform website operations to fulfill customer, faculty, and consultant requests
    • Tracking order progress and results
  • Customer and Consultant Support (20%)
    • Monitor incoming communications and assure timely response to customer and vendor queries arriving via email, mail, or telephone
    • Provide front-line customer support and triage of issues to other support structures
    • Refer specialty issues, such as advanced behavioral health questions, to appropriate support personnel
  • Process Management (40%)
    • Work closely with operations team
    • Sort, log, and route incoming materials, including customer queries and materials for credentialing
    • Handle all assigned communication and correspondence including sensitive and confidential
    • Track and respond to follow up tasks, requests, and referrals
    • Assist in preparing and editing reports, memos, documents and presentations
  • Quality and performance management (10%)
    • Maintain a tracking of customer issues and results
    • Prepare materials for distribution that describe solutions to commonly encountered issues
    • Provide regular reports of results as directed by position supervisor
    • Reach performance goals set by position supervisor
  • Other duties as assigned (5%)

  • Conscientious, self-motivated, and independent
  • Willingness to identify limitation in product knowledge and make appropriate referrals to co-workers
  • Openness to supervision
  • Proficient with computer software; specially, Microsoft Office Suite
  • The qualified individual will have an above average command of the English language both written and spoken with excellent customer relations skills

 

Qualifications:

  • Bachelor’s degree or equivalent experience
  • Prefer experience with teaching, training, or event planning

 

Work Environment:

Remote work hours are generally Monday – Friday 9am – 5pm ET
Minimal travel

Compensation:

The pay range for this full-time position is $15-$20/hr (40hrs/week). Eligible for company benefits per company policy.
